What Is a Real Estate Virtual Assistant? 20 Tasks Realtors Delegate
What a real estate VA does, 20 tasks agents hand off, a four-question test for where the licence line sits, compliance checkpoints and costs.
Joshua is the founder of Nomad VAs, a vetted virtual assistant agency based in Cebu, Philippines, that places specialists with agents and brokerages. The Licence Line Test and time-value table in this guide are original Nomad VAs analysis, not legal advice.
Most agents did not get licensed to enter data, chase signatures or reformat listing photos. Yet that is where the week goes. The U.S. Bureau of Labor Statistics counts about 427,000 real estate sales agents and 103,500 brokers, and reports that about 54% of sales agents and 55% of brokers are self-employed. Self-employed means billing, advertising and admin all land on the same person who is also supposed to be in front of clients.
This guide defines the role, lists 20 tasks agents delegate, and shows exactly where the licence line sits. It also includes an original scoring test from Nomad VAs, a compliance table for calling and advertising, and a cost comparison built on public labor data. If you want the short version of what a real estate VA handles day to day, start with Table 1.
What does a real estate virtual assistant do?
A real estate VA takes the repeatable, non-advisory work off an agent's plate: keeping the CRM clean, calling new leads back on an approved script, preparing listing and transaction files, scheduling showings and producing marketing assets. The agent keeps every client conversation that involves judgment, advice or negotiation.

Table 1: The six work areas of a real estate VA
| Work area | What the VA does | Agent keeps |
|---|---|---|
| Leads and CRM | Logs and tags leads, cleans the database, runs first-touch follow-up and nurture on approved scripts | Qualifying conversations, listing and buyer consultations |
| Listing coordination | Enters MLS data supplied by the agent, gathers disclosures, preps photos and draft copy | Pricing, final listing approval, client advice |
| Transaction coordination | Tracks deadlines, requests documents, chases signatures, updates clients on status | Contract terms, negotiation, interpretation |
| Showings and calendar | Books and confirms showings, collects feedback, manages the agent's week | Attending and conducting showings |
| Marketing | Builds just-listed graphics, social posts, email blasts and property pages | Brand voice sign-off, fair housing review |
| Reporting and bookkeeping admin | Weekly pipeline snapshot, expense and commission tracking | Tax and accounting decisions |
Note that "real estate virtual assistant" describes a scope of work, not a licence. A VA is not a licensed agent, a transaction coordinator or an ISA unless they are separately qualified for that role. Our comparison of a real estate VA vs a transaction coordinator covers where those roles overlap.
20 tasks agents delegate to a real estate VA
Each task below carries a rating from the Nomad VAs Licence Line Test, explained in the next section. Green means no licensing concern in the usual case. Amber means the VA can do it, but only on the agent's script, data or approval.
20 delegable tasks, plus 5 that stay with the licensee
Green and Amber tasks come from Table 2. Red tasks come from Table 3.
Figure 2: The 20 delegable tasks by rating, with the five tasks that stay with the licensee.

| # | Task | Area | Rating |
|---|---|---|---|
| 1 | CRM data entry and tagging | Leads | Green |
| 2 | Database cleanup and de-duplication | Leads | Green |
| 3 | Lead research and list building | Leads | Green |
| 4 | Speed-to-lead call or text on an approved script | Leads | Amber |
| 5 | Long-term nurture emails and texts from approved templates | Leads | Amber |
| 6 | MLS data entry from agent-supplied details | Listings | Amber |
| 7 | Listing description and photo prep for agent review | Listings | Amber |
| 8 | Collecting disclosures and seller documents | Listings | Green |
| 9 | Comparable-sales data pull for a CMA (no price opinion) | Listings | Green |
| 10 | Showing scheduling and confirmations | Showings | Green |
| 11 | Contract-to-close deadline tracking and reminders | Transactions | Green |
| 12 | Chasing signatures, lender and title status | Transactions | Amber |
| 13 | Preparing forms for agent review (terms set by the agent) | Transactions | Amber |
| 14 | Open house sign-in setup and lead follow-up | Showings | Amber |
| 15 | Post-closing archive, review requests, past-client touches | Transactions | Green |
| 16 | Just-listed graphics and social posts | Marketing | Green |
| 17 | Market update email drafting | Marketing | Amber |
| 18 | Property page and website updates | Marketing | Green |
| 19 | Inbox and calendar management | Admin | Green |
| 20 | Expense and commission tracking | Admin | Green |
Across these 20 tasks, 12 rate Green and 8 rate Amber. None rate Red. That split is the practical answer to "what can I hand off tomorrow": start with the 12 Green tasks, then add Amber tasks once scripts and approval steps are written down.
The Nomad VAs Licence Line Test
Real estate licensing is regulated at state, provincial or national level, so no single list works everywhere. We use a four-question test to rate any task before it goes to a VA. Score one point for each "yes."
Four questions, one point per yes
A score of 0 is Green, 1 is Amber, 2 or more is Red.
Advice
Does it advise, negotiate or interpret for a client?
Terms
Does it create or change binding terms?
Judgment
Does it need a licensee's judgment or signature?
Identity
Could the client think they are talking to the licensee?
Tap a card for detail.
Figure 3: The Licence Line Test. 0 points is Green, 1 is Amber, 2 or more is Red.
- Advice: Does the task involve advising, negotiating or interpreting something for a client?
- Terms: Does it create or change the terms of a legally binding document?
- Judgment: Does it need a licensee's judgment or signature to be valid?
- Identity: Could the client reasonably believe they are talking to the licensee?
A score of 0 is Green. A score of 1 is Amber: delegate it with a script, source data or an approval step. A score of 2 or more is Red: keep it with the licensee.
Table 3: Licence Line Test scores for tasks agents should not delegate
| Task | Advice | Terms | Judgment | Identity | Score | Rating |
|---|---|---|---|---|---|---|
| Show a property | Yes | No | Yes | Yes | 3 | Red |
| Negotiate an offer | Yes | Yes | Yes | Yes | 4 | Red |
| Give a listing presentation | Yes | No | Yes | Yes | 3 | Red |
| Answer questions on contracts, title or financing | Yes | No | Yes | Yes | 3 | Red |
| Set or change contract terms | No | Yes | Yes | No | 2 | Red |
These Red tasks match what state regulators publish. Virginia's real estate board guidance, as summarized by the Northern Virginia Association of REALTORS, lists scheduling appointments, submitting listings to the MLS and preparing promotional materials as permitted, and showing property or answering questions on listings, titles, financing or closings as not permitted.
Licensed vs unlicensed: what the rules say
Rules differ between jurisdictions, and the differences matter most for client contact. The North Carolina Real Estate Commission tells brokers to explain the limits of unlicensed assistants to clients at the start of the relationship. California's Department of Real Estate publishes guidelines for unlicensed assistants that describe permitted support such as scheduling appointments for licensees and preparing advertising. The New York Department of State notes that an assistant paid on a completed-transaction basis must hold a salesperson licence, so hourly, per-activity or salaried pay is the safer structure.
NAR also publishes a state-by-state chart of unlicensed assistant rules. It states that it is general information, not legal advice, and that it was last reviewed in April 2020, so confirm any rule with your own regulator before assigning work.
Table 4: How the same task can differ by jurisdiction
| Question | Typical safe answer | Why you must verify locally |
|---|---|---|
| Can a VA schedule appointments? | Yes in most guidance reviewed | Wording differs by state |
| Can a VA contact leads or prospects? | Only on approved scripts, with disclosure | Some regulators allow cold contacting support, others restrict client contact |
| Can a VA enter listings in the MLS? | Yes, from licensee-supplied data | Many rules require the data to come from the licensee |
| Can a VA be paid per closed deal? | No | Transaction-based pay generally requires a licence |
Outside the United States, the same logic holds: Canada, Australia, the UK and the EU each regulate agents, marketing and consent in their own way. Keep a VA on Green tasks until your regulator confirms what is permitted.
Calling and advertising rules every VA workflow must respect
Two compliance areas catch agents who delegate lead follow-up: telemarketing rules and fair housing advertising rules. Both apply to the agent whether a VA or the agent does the work. The same goes for email sign-offs: if a VA writes to clients for you, give them a footer with your name, brokerage and licence details from our free email signature generator.
Table 5: Compliance checkpoints for a real estate VA workflow (United States)
| Rule area | What the regulator says | What it means for the VA's workflow |
|---|---|---|
| National Do Not Call Registry | The FTC's Telemarketing Sales Rule requires callers to access the Registry, and sellers and telemarketers must update call lists every 31 days | Scrub every call list against the Registry before dialing and keep an internal do-not-call list |
| Calling hours | The same FTC guidance treats calls to a home before 8 a.m. or after 9 p.m. local time as a violation, absent the person's prior consent | Set call windows in the dialer by the consumer's local time |
| Penalties | FTC guidance lists civil penalties of up to $53,088 per violation | Treat list hygiene as a billable step, not an afterthought |
| Other telemarketing law | The FTC notes the FCC enforces the TCPA and many states add their own rules | Check state and FCC consent rules for texts and automated calls |
| Fair housing advertising | HUD's Fair Housing Act overview covers housing ads, and HUD's April 2024 guidance extends this to algorithm-driven ad targeting | Route all listing copy and ad targeting through the agent or broker for review |
For deeper playbooks, see our upcoming guides on do not call rules for real estate agents, fair housing basics for marketing copy and the real estate cold-calling playbook. None of this is legal advice.
What does a real estate VA cost compared with an in-house assistant?
BLS reports a median annual wage of $48,310 for secretaries and administrative assistants in May 2025, and $76,590 for executive secretaries and executive administrative assistants. Those figures are wages only. Benefits, payroll taxes and equipment are reported separately by BLS in its Employer Costs for Employee Compensation series.

Table 6: In-house assistant vs a Nomad VAs real estate VA
| Factor | In-house assistant | Nomad VAs real estate VA |
|---|---|---|
| Pay basis | Wage plus benefits, taxes and equipment | One flat monthly rate per specialist, quoted in writing after a discovery call |
| Recruiting and vetting | Your time and job-board costs | Included: transaction-timeline test, live call screen, CRM and MLS checks, reference calls |
| Setup or onboarding fee | Training time | None |
| Hours | Typically fixed full-time | 20 hours a week, 40 hours a week or a 2 to 5 person pod |
| If the fit is wrong | Restart recruiting | Replacement at Nomad VAs' cost in the first month |
| Exit | Employment law process | 30 days' notice on a renewable 12-month agreement |
You can read the full model on the pricing page. We do not publish a rate because role, seniority, hours and coverage change it, and a quote needs scope behind it.
Nomad VAs first-party data: the value of the hours you delegate
Our Founder Time Calculator uses a default scenario of 10 delegable hours a week valued at $150 an hour. That scenario returns 43.3 reclaimable hours a month and $6,495 a month of founder capacity, or $77,940 a year. This is time value, not cash saved. We scaled the same 4.33 weeks-per-month factor to two other workloads an agent might delegate.

| 20 | 86.6 | $12,990 | 1,039 | $155,880 |
The $150 rate is an illustration. Solo operators and consultants often sit lower and high-growth founders higher, so rerun the numbers with your own figure. The value only materializes if the reclaimed hours go to listing appointments, buyer consultations and follow-up with warm leads.
How Nomad VAs vets a real estate VA
Agents often ask how a VA proves they can work a live file. Our real estate screen includes four checks:
- Transaction-timeline test: a contract-to-close scenario scored on deadline accuracy.
- Live call screen: a recorded call to assess phone presence and script discipline.
- Systems proficiency: CRM and MLS checks across tools such as Follow Up Boss, kvCORE, dotloop, DocuSign and SkySlope.
- Reference calls: conversations with prior brokerages.
Our target is a shortlist of two or three specialists within 72 hours of the discovery call, and our specialists have 3 or more years of brokerage-side experience. Our wider approach is on the how it works page.
When should an agent hire a real estate VA?
Hire when admin is crowding out appointments. Common signals are leads waiting more than a few hours for a first response, listings going live later than promised, deadlines tracked in your head and evenings spent on paperwork. Our guide to the signs it is time to hire your first VA covers the wider checklist.
A simple start:
- List every recurring task and rate it Green, Amber or Red with the Licence Line Test.
- Write one-page SOPs for the Green tasks, using the free SOP and job description generator.
- Approve scripts and templates for Amber tasks, including call windows and disclosure wording.
- Follow the first-30-days onboarding plan for a real estate VA and review weekly.
If lead generation is your bottleneck rather than admin, an outreach specialist may fit better. Our overview of what a real estate VA can and cannot do, the real estate transaction coordination guide and how much time a VA can save you go deeper on each step.
Frequently asked questions
Can a real estate VA cold call?
Often yes, but only on a script you approve, from a list scrubbed against the National Do Not Call Registry and within permitted calling hours. Some regulators allow unlicensed assistants to support cold contacting, while others restrict client contact, so check your state or national rules first. The VA must never give advice or answer questions on pricing, contracts or financing.
Do real estate VAs manage my CRM?
Yes. CRM management is one of the safest and most common tasks: logging and tagging leads, cleaning duplicates, setting follow-up reminders and keeping pipeline stages current. It rates Green on the Licence Line Test because it involves no advice, no contract terms and no client conversation.
Can a real estate VA handle transactions?
A VA can coordinate the paperwork side: tracking deadlines, requesting documents, chasing signatures and updating the file. They should not negotiate, change contract terms or explain contract language to clients. Those tasks stay with the licensee, or with a licensed transaction coordinator where your rules require it.
Does a real estate VA need a real estate licence?
Not for administrative support, in most jurisdictions. A licence is generally required for activities such as showing property, negotiating, giving listing presentations and answering substantive questions. Rules vary by state, province and country, so confirm with your regulator and broker.
How much does a real estate VA cost?
Nomad VAs quotes one flat monthly rate per specialist, in writing, after a discovery call, because role, seniority, hours and coverage change the number. There are no setup or onboarding fees. For comparison, BLS reports a $48,310 median wage for secretaries and administrative assistants in May 2025, before benefits and payroll costs.
How many hours a week does a real estate VA need to work?
Match hours to your Green and Amber task list. Our engagement options are 20 hours a week for listing prep and coordination around a steady deal flow, 40 hours a week for a dedicated coordinator in your CRM and MLS, or a pod of 2 to 5 specialists for an ISA, a coordinator and a marketing VA.
