The service

Nomad VAs recruits, vets, places and manages dedicated remote virtual assistants and specialists ("Specialists") who work for you. Specialists are supplied through Nomad VAs, which remains responsible for their hiring, vetting, payroll and day-to-day support. You direct the work and decide the tasks.

Estimates and written agreement

Rates and package prices on this website are estimates in US dollars. The rate, hours and scope for your engagement are confirmed in writing after a scoping call and apply once you accept them.

Paid trial

You can start with a paid trial of your first 20 hours, billed at the standard rate for the role, with no 12-month agreement required to begin. Trial hours are worked and delivered, so they are not refundable. If you continue, you move to an ongoing package under a service agreement.

Service agreement, term and notice

Ongoing engagements run on a renewable 12-month agreement. You may cancel with 30 days' written notice. You remain responsible for hours worked through the end of the notice period.

Fees and billing

• You are billed for the hours your Specialist actually works, in semi-monthly billing periods, at the rate agreed in writing.
• There are no setup fees.
• Invoices are payable by the due date shown on the invoice. Unpaid invoices may lead to suspension of the service until the balance is settled.
• Taxes, bank charges and currency conversion costs, if any, are your responsibility.

Refundable service deposit

When you agree to an ongoing package, you pay a service deposit equal to one month in advance of the package you chose. It secures your start and is not a fee for service. If your agreement ends and you do not continue with us, we refund the deposit in full, less any amounts you still owe us. Hours already worked, including trial hours, are billed and are not refunded.

Replacement guarantee

If a Specialist is not the right fit, tell us within the first month of the engagement and we will replace them at no extra cost to you. Replacement is the remedy under this guarantee. We do not offer cash refunds for hours worked. Time needed to find and onboard a replacement is not billed.

Your responsibilities

• Give your Specialist clear instructions, access and tools needed for the work.
• Provide only lawful tasks and content. We may decline or end work that is unlawful or abusive.
• Treat Specialists respectfully and in line with the working hours agreed.
• Do not hire a Specialist directly to avoid Nomad VAs fees during the engagement or for 12 months after it ends without agreeing a placement fee with us in writing.

Confidentiality and data

Specialists sign confidentiality terms before they start. You decide what systems and information they can access, and you should grant only what the work requires. If your work involves regulated data, such as health information, discuss the arrangements you need with us and your own advisers first. Nothing on this website is a promise of regulatory compliance.

Intellectual property

Work product created by Specialists for you in the course of the engagement belongs to you once you have paid for it. We keep ownership of our own tools, templates and materials.

Warranties and liability

We work to deliver the service with reasonable skill and care, but we do not guarantee particular business results. To the extent the law allows, our total liability to you for any claim related to the service is limited to the fees you paid us in the three months before the claim arose, and we are not liable for indirect or consequential losses. Nothing here limits liability that cannot be limited by law.

Use of this website

You agree not to misuse the site, attempt to disrupt it, scrape it in breach of our rules, or submit false information. Content on the site is owned by us or our licensors and may not be copied without permission.

Governing law and disputes

These terms are governed by the laws of the Republic of the Philippines. We will try to resolve any dispute through good-faith discussion first. If that fails, the courts of Cebu City, Cebu, Philippines have exclusive jurisdiction.

Changes

We may update these terms. The date at the top shows the latest version, and changes do not alter a signed agreement without your consent.
