How to Write an SEO VA Job Description (+ Free Template)
A copy-paste job description, the KPIs and skills to put in it, current pay benchmarks, and the mistakes that attract the wrong applicants.
Joshua is the founder of Nomad VAs. He manages local and national SEO campaigns, on-page optimization, and keyword strategy across multiple client accounts, and personally vets every SEO VA the company places.
Your job description decides who applies, who filters themselves out, and whether the first month of the engagement runs smoothly. Most templates that show up for this search are generic virtual assistant postings: “keyword research” appears once in a bullet list and that is the end of the SEO detail. A vague posting gets vague applicants.
This guide goes further. You get a complete, copy-paste SEO VA job description, the KPIs to measure it by, a skills-and-tools screen, current pay benchmarks for the US and the Philippines, and the mistakes that quietly ruin postings. If you are still deciding whether to hire at all, read why hire an SEO VA in 2026 and what an SEO VA does day to day first. If you would rather skip the posting stage, you can hire an SEO VA from a vetted shortlist instead.
What should an SEO VA job description include?
An SEO VA job description should include seven parts: title, summary, responsibilities, skills and tools, KPIs, hours, and pay. SHRM publishes a guide to writing an effective job description, and the SEO version applies the same discipline: a standard structure and a clear focus on what the role actually does. The table below shows what to write in each part.
Table 1: The seven parts of an SEO VA job description
| Part | What to write | SEO VA example |
|---|---|---|
| 1. Job title | The plain title candidates actually search for. | SEO Virtual Assistant |
| 2. Role summary | Two sentences: the outcome the role owns and who they report to. | Own weekly SEO execution for our site and report to the marketing lead. |
| 3. Responsibilities | Five to seven bullets, each with a deliverable. | Optimize 10 pages per week; deliver a monthly keyword map. |
| 4. Skills and tools | Required tools separated from nice-to-haves. | Required: Search Console, GA4, Ahrefs or Semrush. |
| 5. KPIs | Three to five numbers you review monthly. | Pages optimized, outreach sent, report on time. |
| 6. Hours and overlap | Weekly hours, time zone and check-in rhythm. | 20 hours a week, 4 hours of overlap with your business day. |
| 7. Pay and terms | Pay range, currency, payment method, contract type. | [Range] per hour, paid monthly via [method]. |
How do you write an SEO VA job description step by step?
Start with the outcome, then work down to tasks, tools, KPIs and logistics. Writing in that order stops the common failure of listing every SEO task you have ever heard of. Follow these seven steps.
- Define the outcome before the tasks. Write one sentence for what should be true in 90 days: a clean keyword map, a steady on-page cadence, and a monthly report you trust.
- Pick a searchable title. “SEO Virtual Assistant” beats a clever title. Candidates search for familiar words.
- Write a two-sentence summary. Name the outcome, the reporting line and the main tools.
- List five to seven responsibilities, each with a deliverable. Cover keyword research, on-page work, link outreach, technical checks, content briefs and reporting. If you are unsure which tasks to include, our list of SEO tasks you can delegate sorts them from easy to advanced.
- Separate required from nice-to-have skills. Name only the tools you actually use.
- Add KPIs for the first 90 days. Pick three to five measurable targets (see the KPI table below).
- State hours, pay and how to apply. End with a short test question that every applicant must answer.

Which skills and tools should an SEO VA have?
An SEO VA needs working fluency in Google Search Console, GA4, one SEO research suite, one crawler and a CMS, plus clear written English. Two of those tools are free and published by Google, so there is no excuse for an applicant not to know them. Google's own SEO Starter Guide is a fair baseline: ask candidates to explain its basics in their own words. The table pairs each skill area with a quick test you can run.
Table 2: SEO VA skills, tools and a quick test for each
| Skill area | Required | Nice to have | Quick test |
|---|---|---|---|
| Search data | Google Search Console, GA4 | Looker Studio | Which three reports would you check first on a new site? |
| Keyword research | Ahrefs, Semrush or Moz | Surfer or similar | Map 10 keywords to 10 pages. |
| Technical | Screaming Frog or Sitebulb basics | Schema markup | Find five planted issues in a sample crawl. |
| On-page | CMS editing, title and meta rules | Yoast or Rank Math | Rewrite three meta descriptions to length. |
| Outreach | Personalized email, spreadsheets | Digital PR | Draft one pitch to a real prospect. |
| Communication | Clear written updates in English | Short video updates | Send a mock weekly update. |
What KPIs should you put in an SEO VA job description?
Use three to five activity and quality KPIs, and treat rankings and traffic as trends rather than promises. Search results lag behind the work by weeks or months, so a ranking target in the first 90 days sets everyone up for a bad conversation. Activity KPIs measure what the VA controls. The targets below are starting points to adjust for your site size, not industry benchmarks.
Table 3: Example KPIs by responsibility
| Responsibility | KPI | Example 90-day target |
|---|---|---|
| On-page optimization | Pages optimized per week | 8 to 12 pages that pass your checklist |
| Keyword research | Priority pages mapped to keywords | 100% by day 30 |
| Link outreach | Emails sent and reply rate | 40 to 60 emails per week, replies logged |
| Technical checks | Critical issues fixed or escalated | Within 7 days of the monthly crawl |
| Reporting | Report delivered on time | By the 5th business day each month |
| Outcomes (trend only) | Clicks and impressions in Search Console | Direction of travel, no promised rank |
How much does an SEO VA cost, and should you list the pay?
Yes, list the pay range. Published salary data gives a starting benchmark: SEO specialists on payroll average roughly $59,000 to $82,000 a year in the US and about ₱29,000 to ₱36,000 a month in the Philippines. Those figures come from salary databases that aggregate employee pay, so treat them as ceilings and context rather than a VA price list.
Table 4: SEO specialist pay benchmarks by market (employee salary data, as of October 2026)
| Market | Data point | Average | Source |
|---|---|---|---|
| United States | SEO specialist, all levels | About $82,200 per year | Indeed (897 salaries, updated September 2026) |
| United States | Junior SEO specialist | About $56,700 per year | Indeed (6 salaries, updated August 2026) |
| United States | SEO specialist, all levels | About $59,200 per year | Payscale (444 profiles, May 2026) |
| United States | Market research analysts (nearest BLS category) | $78,760 median per year | U.S. Bureau of Labor Statistics (May 2025) |
| Philippines | SEO specialist, all levels | About ₱36,200 per month | Indeed Philippines (343 salaries, updated September 2026) |
| Philippines | Junior SEO specialist | About ₱22,800 per month | Indeed Philippines (7 salaries, updated September 2026) |
| Philippines | SEO specialist, all levels | About ₱348,200 per year (roughly ₱29,000 a month) | Payscale Philippines (39 profiles, February 2026) |
Four caveats keep this honest. First, these are in-house specialist salaries, not contractor rates, and a VA role is often scoped narrower than a full specialist role. Second, the sources use different samples, so they disagree (Indeed's junior figures rest on only six US and seven Philippines salaries); compare them as a range, not a single number. Third, the BLS does not track SEO specialists as a separate occupation, so its closest neutral reference is market research analysts, whose median wage sits inside the same range. Fourth, currency and cost of living move, so convert at today's exchange rate before you set a budget. For what a managed engagement costs, see our transparent pricing, and you can run your numbers in the Founder Time Calculator to see what the hours are worth to you.
Listing pay can also be a legal requirement. Under the EU Pay Transparency Directive, employers must give applicants the initial pay or pay range before the interview, and member states were due to transpose it into national law by 7 June 2026. Several US states and cities also require pay ranges in postings. Check the rules wherever you recruit before you publish the posting.
What mistakes make an SEO VA job description fail?
Most failed postings share the same six mistakes: vague scope, an endless tool list, no KPIs, promised rankings, hidden pay and no test. Each one attracts a predictable kind of applicant, and each has a simple fix.
Table 5: Common job description mistakes, what they attract, and the fix
| Mistake | What it attracts | Fix |
|---|---|---|
| “VA needed for admin and SEO” | Applicants for every admin job | Name the SEO tasks and deliverables. |
| A list of 25 tools | Candidates who list all and know none | Required tools versus nice-to-have. |
| No KPIs | Disputes about what “done” means | Add three to five measurable targets. |
| “Must rank us #1” | Shortcut sellers and anxiety | Use activity KPIs; track rankings as a trend. |
| No hours or pay | Mismatched expectations | State hours, overlap and a pay range. |
| No test instruction | Copy-and-paste applications | Require one short, specific answer. |
How do you screen applicants after you post the job description?
Screen in three steps: read the test answer, run a short paid task, then hold a live interview. A job description only filters on paper. A paid task filters on skill. A good one takes 60 to 90 minutes, such as fixing five planted meta-description errors, mapping ten keywords to ten pages, and writing three sentences on what they would check first on your site. This mirrors how we vet at Nomad VAs, where every specialist moves through screening, a paid skills task, a live interview and a paid trial before a client commits; the stages are laid out in how we vet.
It also helps to know what you are comparing against. If you are weighing a VA against retained help, our SEO VA vs SEO agency comparison sets out cost, control and scale, and you can browse the roles if your needs span more than search.
Frequently asked questions
What skills should an SEO VA have?
An SEO VA should have working knowledge of Google Search Console and GA4, at least one SEO research suite such as Ahrefs, Semrush or Moz, a site crawler such as Screaming Frog, and comfort editing pages in a CMS like WordPress. Strong written English, attention to detail and the ability to follow an SOP matter as much as the tools.
What KPIs should an SEO VA job description include?
Include three to five activity and quality KPIs: pages optimized per week, priority pages mapped to keywords, outreach emails sent and reply rate, critical technical issues fixed or escalated within seven days, and a monthly report delivered on time. Track clicks and impressions as trends, but avoid promising specific rankings.
Where should I post an SEO VA job description?
Post it on general job boards such as LinkedIn and Indeed, on freelance marketplaces, or hand it to a vetted provider that shortlists candidates for you. Whichever route you use, include a short test question in the posting so you can filter out copy-and-paste applications.
How long should an SEO VA job description be?
Aim for one page, roughly 400 to 600 words. That is long enough to name the tasks, tools, KPIs, hours and pay, and short enough that a candidate can judge fit in a few minutes.
Should I include the salary in an SEO VA job description?
Yes. A stated pay range filters out mismatched applicants and saves time on both sides. It can also be a legal requirement: under the EU Pay Transparency Directive, employers must give applicants the initial pay or pay range before the interview, and several US states and cities require pay ranges in postings. Check the rules where you hire.
